2012 Rally Planning Committee

We are starting to make preparations to plan for the 2012 Arizona Land Rover Rally.

I would like to make a general call for volunteers who would like to help with the planning of the rally. If you think you have some time that you can commit, please comment on this thread and we will start there.

I'd still like to delegate Rally web site materials to their respective volunteer so the Rally site is even more self-managed than last year.... <!-- s:thumbup: --><img src="{SMILIES_PATH}/icon_1thumb_up.gif" alt=":thumbup:" title="thumbsup" /><!-- s:thumbup: -->

OK, I am back in town and will have the committee list put together this coming week. However, talking with the Overland Expo people, I don't think they have set a date yet, which will be key in setting our rally date. I will call them this week as well.

Here is the list of volunteers I am looking for this year for the upcoming rally. I have taken a &quot;team&quot; approach for volunteers, as many areas require more than one person. Here are the positions and what they will be responsible for. These descriptions may change a bit as we may have overlooked some duties as well.

Rally Lead Person (1) Doug Lawyer




Registration Team (3-4)
Registration Lead Person
(Responsible for making registration come together.)
Rally Attendee Communications
(Emailing all communications to rally participants)
Check In Station
(Coordinate set up, material, and manpower for rally check-in station)
Goodie Bags/Name-tags
(Coordinate with sponsorship team for giveaways and physical assembly of bags, including t-shirts)
T-Shirts
(Keep accurate count and order t-shirts and coordinate distribution at check-in)



Website Coordinator (1-2) Bob Kolander
Website Presence
(Creating and maintaining website, registration process, posting sponsors, etc.)




Events Team (2-3)
Dinner (Keep accurate count, plan menu, and give final count to catering)
Raffle (Main and Kids)
(Work with sponsorship team to coordinate give-aways, secure master of ceremonies, and run raffles)
Vendor Night
(Organize sponsors and work with venue team to run vendor night)
Morning Staging
(Organize, set-up, and run morning staging area, including signage)



Venue Team (2-3)

(Shop, compare, and select venue)

(Shop, compare, and select official camping area)

(Work with venue team/hotel for vendor night location and lay-out)

(Investigate and select all trails for rally and create list for participants)

(Coordinate emergency medical and emergency towing contacts)

(Organize on-trail communications plan for each trail, as well as outgoing and incoming group check-ins plan to ensure everyone returns safely)

(Plan and execute installation and tear-down of rally signage)

(Work with chair person to set budget and maintain budget)
